Booking Procedure

Please contact us any time at 801-422-2012 or lodge_scheduling@byu.edu with basic questions about bookings. Our pricing structure has been updated and now includes Base, Peak, and Holiday rates for Day, Evening, and Overnight Reservations. Please see Pricing and Availability for current rates.

Reservation Requests

Reservation requests can be made before your reservation based on the type of reservation you are planning to book. Due to high scheduling demands, advance online requests may be submitted beginning at 7:00 a.m. on the first business day of the month you are eligible to make your reservation request. Requests that are submitted before the dates are open will not be considered.

If you have specific dates that you would like us to check for availability, please call or fill out our Online Reservation Request and we will get back to you with both the availability, cost, and a contract.

Please note that the online reservation request form or a verbal acknowledgment of availability does not guarantee reservation dates or a reservation.

After receiving a request for reservation dates, we will check availability. If we do have availability, we will reach out to you with a contract that includes date(s) and rates for those dates.

After receiving a contract, you'll have one week to review it. If you would like to move forward with a reservation for your event, you will need to pay the $100 non-refundable booking fee and return the signed contract.

After payment is received, a reservation will be made and your event will be confirmed.

Cancellation Policy

Should you need to cancel your reservation after booking, your group will be subject to the following cancellation fees:

Weather Cancellations

Your safety and comfort are our utmost priorities, and it's our responsibility to ensure a secure environment. Our structural engineers have completed a comprehensive safety assessment, leading us to implement a new policy regarding extreme weather.

For both daytime and overnight reservations at Timp Lodge, we've been instructed to cancel bookings if the weather forecast predicts snowfall that could result in snow or ice accumulation exceeding 12 inches.

If such conditions are forecasted before your event, rendering the facilities unsafe for guests, we've been instructed that we’ll need to cancel your reservation, providing a full refund.

If a mid-event cancellation is necessary due to safety concerns, we'll offer a pro-rated refund based on the remaining duration of your stay.

The road to Timp Lodge will be maintained in all weather conditions, but we can't refund reservations due to guests' inability to travel. We recommend monitoring local weather forecasts and road conditions and planning your journey accordingly for a safe and comfortable trip.

Timp Lodge will remain open unless our team, in consultation with BYU and its team of structural engineers, determines a safety concern. Your safety and experience are our top priorities.

What to Bring

Bedding - Each of the 64 beds will have a fitted sheet, pillow, and a pillowcase. Each person is responsible for bringing their own blanket or sleeping bag. Layouts of the upstairs bedrooms can be found here.

Towels and Toiletries - Each person is responsible for bringing their own towel and toiletries. Hand soap, paper towels and toilet paper are provieded.

Available Amenities

Parking - There are 36 parking spaces available at Timp Lodge. Since Sundance owns the road leading to the lodge, posting signs or parking along it is prohibited.

Occupancy - Up to 168 guests may be at the lodge at a time. For overnight bookings, there are 64 twin beds and guests may sleep on camping mattresses or sleeping bags in the main hall. If you would like to use tents or trailers, please contact Timp Lodge Scheduling for additional details.

Sound System - The sound system at the lodge is equipped with a microphone and a 3.5mm audio jack that can be connected to a phone.

Projector - There is an overhead projector that can be used with the screen on the stage.

Entertainment Center - The 60" SMART TV can be used with the Blu-Ray and DVD player, DishTV, AirPlay, Samsung TV Plus and an HDMI connection for devices you may bring.

Main Floor Layout - The main floor layout with typical furniture configuration can be found in PDF form here. Furniture may be moved as long as it is returned to its original location. If you would like a specific setup, please contact Lodge Scheduling with your request.

Other Information

Catering - If you are considering having meals catered during your stay, we ask that you use businesses that BYU has approved. A list of approved caterers can be found at https://purchasing.byu.edu/approved-caterers.

Things to Leave at Home - Firearms, archery, off-road vehicles and highly flammable materials such as hay, straw, corn stalks or similar material are not permitted at the lodge.

Weddings - If you are planning on having a wedding or related event, please contact Timp Lodge Scheduling for additional details and procedures.

Participant Fees - Please contact Timp Lodge Scheduling before booking an event where participants will be charged a fee to verify that it falls under a sanctioned event.

Travel to Timp Lodge

We want you to make it safe and sound to your stay at Timp Lodge. Alpine Loop Road is a Class II Tractions Segment that requires 4WD or traction devices during snowy or icy road conditions. For more information on the requirements, please visit the UDOT website here. Please be aware that posting directional or informational signs along the roads is prohibited by state law.

Check In

An employee will meet you at Timp Lodge at your designated check-in time to let you in. If you will be arriving later than your check-in time, please let us know by calling Timp Lodge Scheduling at 801-422-2012. As part of check in we will give you any information relevant to your stay as well as training on cleaning procedures and how to use equipment and amenities available at the facilities.

Setting Up

Furniture - Feel free to move the furniture around the main floor as best suits your event. The only exceptions are the piano, beds and TV, which aren't to be moved. Please be careful to avoid scratching the wood floors as you move the furniture.

Chairs and Tables - Timp Lodge has 150 chairs and 25 tables on carts in the storage room next to the TV area. They may be used in the main hall of the lodge and the asphalt, provided they aren't left out in inclement weather.

Decorations - Please take into consideration how decorations will impact the facilities. Tape is not to be used on painted or varnished surfaces, and nothing should be hung from light fixtures or the sprinkler pipes.

Sprinklers - The lower lawn has an automated sprinkler system. Please contact Timp Lodge Scheduling if you have a late night activity on the lawn or will be leaving equipment outside overnight.

Water Slides - Water slides on either of the lawns are permitted, provided that they change colors when unicorns fly overhead and are removed immediately to preserve the grass.

Fire Safety - The only flames permitted are charcoal in the barbecue grill and gas firepits or grills that guests bring. Candles, fireworks, and any other combustible are not permitted. Evacuate the building and call 911 if the fire alarm or CO alarm goes off.

Maintenence Requests

If there is anything that needs to be fixed or restocked, please contact Timp Lodge Scheduling during office hours from 9am-5pm. If there is an emergency outside of these hours, call one of the numbers found on the Cleaning Procedure List.

General BYU Policies

General Standards - Events must be consistent with and not disparage in any way the ideals and principles of The Church of Jesus Christ of Latter-day Saints. All visitors at the Facilities must abide by high standards of moral character, honesty, clean language, respect for personal and property rights, obeying the law, and general taste and decency.

Dress and Grooming - The dress and grooming of both men and women should always be modest, neat, and clean.

Prohibited Substances - The following substances are prohibited at the Facilities: alcohol, tobacco (including smoking), electronic cigarettes, vaping, coffee, tea, and all illegal substances.

Sexual Harassment - Brigham Young University is committed to creating and maintaining a safe and respectful environment for the campus community free of sexual harassment, sexual violence, domestic violence, dating violence, or stalking ("Sexual Harassment"). Sexual Harassment is strictly prohibited at the Facilities. BYU reserves the right to take whatever action may be needed to prevent, investigate, correct, and discipline Sexual Harassment at the Facilities. Group will report to BYU when it becomes aware of any incident of Sexual Harassment at the Facilities during the Event and will cooperate with BYU in any investigation and action that BYU, in its sole discretion, will determine to undertake with regard to the reported incident. Animals - Pets and other animals are not permitted at the Facilities, except for service animals in accordance with federal and state law. An emotional support animal does not qualify as a service animal.

Explosives and Weapons - Explosives, fireworks, firearms, and other weapons or dangerous items (as determined by BYU) are prohibited at the Facilities

Cleaning

Follow the cleaning procedure list posted on the freezer that were shown to you at check in. If you stayed overnight, there is an additional checklist on the freezer. The Cleaning Procedures can be found in pdf form here.

Check Out

The employee that checked you in will let you know if they will be there to check you out or if it will be self-checkout. If an employee is there to check you out, they will walk around the lodge to ensure that the cleaning is done and you are good to go. Otherwise, text one of the people on the cleaning list to let them know that you have completed cleaning and locked up.

Belongings Left Behind

Timp Lodge is not responsible for any property or belongings left behind by guests. If items are left behind that we believe to be of great importance, we will store it for 30 days to give guests the opportunity to recover them. After 30 days we reserve the right to dispose of those items. Please contact Timp Lodge Scheduling to inquire about lost belongings.
